Tips For Implementing a New Company Policy

Companies grow and change, and their policies must often be adjusted to fit. For employees who are comfortable with the old way of doing things, however, a change in policy can lead to confusion and frustration.  Whether your organization is large or small, focusing on an anxiety-free transfer to a new policy can help your employees implement the new rules correctly and easily.

Here are five ways to relieve the stress of implementing a new company policy:

1.       Decide whether the change is necessary.

Just because a policy can be changed doesn’t mean it needs to be changed.  Have a significant number of employees, or employees in key positions that relate to the policy, mentioned the same problem or concern?  Has a single problem happened multiple times?  If so, a change in policy may be necessary.

2.       Articulate the goal of the new policy. 

How should the new policy solve the problem?  Clarify why the policy is needed and specify both the short-term and long-term goals of the policy change. Make sure all employees know why the change is being made and what the desired outcome looks like.

3.       Create the policy.

Depending on the type of policy change or creation needed, this step may involve creating a policy from scratch or revising an already-existing policy.  In both situations, including affected employees on the committee can help ensure the policy sets realistic guidelines that aim for achievable results.

4.       Get a legal review if needed.

Some policies, like security procedures, may require a legal review to ensure the policy is appropriate and protects employees.  Don’t hesitate to get a legal review if your organization has any questions about the legal propriety of the policy.

5.       Implement the policy.

After both internal and external review, put the policy on active duty within the organization.  Identify one person to serve as the “contact point” for employees who have any questions or concerns about the new policy, and make certain employees know who the contact point is.
