4 Time-Management Strategies To Improve Productivity

1. Find out where your time goes.

Auditing your use of time is easier than ever with tools like RescueTime and Toggl, which allow you to track everything you do. Use one of these tools for a week, then use their onboard analytics to see exactly where your time is going.

Seeing the data can be its own powerful catalyst for change. For instance, if you think you spend only 30 minutes on email but find you actually spend 90 minutes, that fact alone can help you change your approach by making you more mindful of your time.

2. Gamify your use of time.

Tasks tend to expand to fill the time allotted. If you give yourself ten minutes to check email, you’ll check email for ten minutes. If you give yourself an hour, you’ll use the hour.

Challenge yourself to “beat the clock” by setting conscious time limits on certain tasks. During that time, focus only on the task in front of you. Take a breather between tasks, then dive in again.

3. Plan, then execute.

Tackling your day without a clear plan practically guarantees you’ll be pulled off course by the first distraction that comes your way.

Instead, spend the last 10 to 15 minutes of your workday organizing your desk and creating a list of your most important tasks for the next day. Put the list where you’ll see it right away in the morning. When you arrive the next morning, jot down your three most urgent and important tasks for the day, and work on those during the time of day you’re most alert.

4. Practice delegating.

Delegating can be time-consuming at first, as you train someone else to take on a task. But once the system is in place, delegating saves far more time than it consumes. Practice handing over tasks to qualified team members – and if you need qualified people, talk to your staffing partner.
